Accounting automation for small businesses: stop retyping everything
The ALGORITM, an AI automation studio based in Lévis (Quebec), offers accounting automation for the part of your bookkeeping that still lands on the owner's desk: data entry. A client's request becomes a client record, then a quote, then an invoice, without anyone typing the same details three times.
Why the accounting always ends up on your desk
In a small service business, the accounting isn't the problem; everything before it is. A request comes in through your website or by email, someone copies it into the accounting software, builds the quote, sends it, follows up, then walks the same path again for the invoice. Each step is short. Put end to end, they finish late at night at the kitchen table.
That's a textbook bottleneck: it waits on you, and nothing moves until you find the time. Nobody on the team can do it for you, because you're the one who knows the prices.
What we automate
- Creating the clientin QuickBooks from the request you receive, with no retyping.
- The draft quote, with the right service and the price from your own price list, ready for you to review.
- Follow-upson quotes that got no answer, and payment reminders, on your timelines.
- The invoice, built from the accepted quote, and the notice to the client.
- Sorting documentsthat arrive by email (supplier invoices, receipts) into the right folder.
Every automation is tested on a copy before it touches your real data. To see how we decide where to start, read about business process automation.
How it works
Accounting automation is delivered as part of our 30-day program, described on the home page: an audit of your bottlenecks, three automations delivered, three documented processes and your team trained. If retyping accounting data is what costs you the most hours, it becomes the first automation, live within 7 days. The audit confirms or corrects that choice, then names the next two. The full list of what we build is on our services page.
An example from a real engagement
A lawn care contractor in the Quebec City area sent out roughly 250 quotes over one summer. For each one, he retyped the client into QuickBooks first. The quote wasn't what took long; everything around it was.
We built the whole path: the request comes in from his website, the client is created in QuickBooks, and a draft quote is built with the service and the price from his price list. He opens it, adjusts if needed and approves; he is the one who sends it. The system runs on a server chosen by the business, at his request. It was tested live on a QuickBooks sandbox, then installed on his real books in mid-October 2026. We will publish an hours-saved figure only once it has been measured.
What we don't do
- We don't keep your books or file your taxes.Your accountant stays your accountant; they just receive cleaner data.
- We don't send anything to a client without your approvaluntil you decide otherwise, quote by quote.
- We don't make you switch software. We start with what you already use.
Frequently asked questions
Does it work with my accounting software?
The case we built and tested is QuickBooks Online. For other software, we check during the free audit whether it lets an authorized connection create clients and quotes. We tell you before we start, not after.
Who has access to my books?
You authorize the connection yourself, and you can revoke it whenever you want. We tell you exactly what the system does in your account, and it can run on your own server if you prefer.
What if the automation gets a price wrong?
The quote stays a draft until you approve it. At first, you review everything; then you decide what can go out on its own.
How much does it cost?
The program terms are presented on the free audit call, if it's a fit for you. If a public program can cover part of it, we'll tell you. To learn more about us, see who we are.
