Business process automation for small service businesses
The ALGORITM, an AI automation studio based in Lévis (Quebec), provides business process automation services to small service businesses in a set order: first the process that costs you the most hours, not the one that's easiest to sell. The goal isn't more tools. It's a business that runs without everything landing on you.
The real problem: everything rests on you
Quote requests, new clients to welcome, appointments to confirm, questions from the team: in a small service business, these processes exist, but they live in the owner's head. So you spend the day putting out fires, and results vary without you knowing why.
Automating a process nobody understands fixes nothing; it just makes mistakes faster. That's why we always start with the audit.
How we choose what to automate
- The free audit(30 minutes, no charge) names your number-one bottleneck and estimates the hours it costs you.
- The full audita 150-question questionnaire, your time log over 7 days and two or three short interviews with key employees.
- The priority reportranks your processes by what they cost you and the effort needed to automate them.
- The first winis picked from simple, repetitive tasks (sorting email, follow-ups, booking appointments, reminders): it doesn't wait for the report.
The six steps of the program are laid out on our home page.
The processes we automate most often
- Onboarding a new clientintake form, shared folder, welcome emails, reminders for the documents you need.
- From request to quotethe request comes in, the client is created, the quote builds itself (see accounting automation).
- Follow-ups and remindersunanswered quotes, tomorrow's appointments, late payments.
- Sorting incoming messagesand preparing replies, with an AI agent when the wording changes from one message to the next.
An example from a real engagement
A content creation agency was onboarding every new client by hand: form, shared folder, emails, reminders to get the files. We automated the entire onboarding: the client fills in a form, their folder is created, the emails go out on their own, and a page lets them upload their files even without a Google account. The system has been running since October 2, 2026, and a first real client has gone through it.
It was a free pilot. Volume is still low: we will publish an hours-saved figure only once it has been measured.
What we don't do
- We don't replace your team.We automate the tasks that land on you when they shouldn't. Freed-up hours are reassigned, not cut.
- We don't make you dependent on us.The automations and process documents belong to your business; we use open-source tools wherever we can.
- We don't put anything into production without testing iton a copy first, before it touches your real clients and your real data.
Frequently asked questions
What tools do you use?
Mostly n8n, an open-source automation platform, connected to the software you already use (email, calendar, accounting software, Google Workspace or Microsoft 365). We pick the tool after we understand the process, never before.
How much of my time does it take?
A 7-day time log (a few minutes a day), the audit questionnaire, access to your tools and one group coaching session a week for 8 weeks. We handle the build.
My process isn't written down anywhere. Is that a problem?
No, it's the most common case. The audit exists precisely to get it out of your head: it becomes a process document (goal, trigger, steps, owner, tool, metric) before it is automated.
Can I start with a single process?
The program delivers three automations, because fixing one process leaves the next two landing on your desk. If you first want to see where you stand, the free audit commits you to nothing. You can also browse all our services or read the overview of AI automation.
